Why do my GCKey and IRCC tracker show different statuses?

I’ve been checking my application for months, and I keep seeing conflicting info. One day GCKey says “Processing,” the next the IRCC tracker shows “Document Request Sent.” But I haven’t received any email or message about documents. I’m not sure what to trust.

This happens more than you’d think. The GCKey portal shows general status updates, while the IRCC tracker reflects case milestones. They don’t sync in real time, and sometimes one system updates before the other. I’ve learned not to panic over “ghost updates” — if there’s no official message, no deadline, and no request for documents, it’s probably not a real change.

Here’s what I’ve started doing:

- Save every email and portal screenshot.

- Check my official IRCC account (GCKey) daily.

- Wait for a formal message before assuming anything.

- Respond within 48 hours if I *do* get a request.

But still, it’s confusing. So I have a few questions for anyone who’s been through this:

1. How long after the tracker updates does the GCKey status usually catch up?

2. Have you ever gotten a document request via email but not seen it on the tracker?

3. Is it normal for the “Processing” status to stay for weeks without any new messages?

4. If you’ve had a delay, did you eventually get a follow-up, or was it just silence?

I’m in the Express Entry pool, provincial nomination pending (BC PNP), and my profile was last updated 3 months ago. I don’t want to overthink every small change, but I also don’t want to miss something important.

GCKey and IRCC’s online tracker can show different statuses because they pull from different systems and update at different times. GCKey often reflects the most recent action in your file, like document submission or an application update, while the tracker may lag or reflect only official status changes from IRCC’s backend.

Check if you recently uploaded documents—those can trigger a GCKey update but may not immediately change the tracker. Also, ensure your application was processed under the correct program (e.g., Express Entry vs. Provincial Nominee). A common pitfall is mixing up application numbers or submitting to the wrong stream.

Another thing to verify: if you’re tracking a permanent residence application, the status might not update until IRCC reviews your file after receiving all documents. Delays are normal during peak periods.
