How should graduates handle the gap between final grades and PGWP?

The period between finishing a program and applying for a Post-Graduation Work Permit (PGWP) can be confusing. Students may receive final grades, a completion letter, and a transcript on different dates. Some graduates also have job offers starting quickly. The key is to track your school’s documents, current status, and work eligibility timing without guessing.

Which date should you watch most closely? Is it final grades, the official completion letter, transcript release, study permit expiry, or the PGWP application submission date? What should you ask your school registrar before making work plans? How do you keep evidence of completion and application submission organized?

If you reply, include your program end date, the date final grades were posted, whether a completion letter is available, your study permit expiry date, and whether you have a job start date. Please do not post your transcript or personal identifiers.

The Completion Letter Is Key

The most important document for PGWP eligibility is the official letter from your Designated Learning Institution (DLI). This letter must confirm that you have met all academic requirements to complete your program. Final grades alone are not always sufficient. Some schools issue a completion letter before the final transcript is released. This letter is often enough to apply for PGWP.

Check with your registrar. Ask specifically: When will the completion letter be issued? Can it be issued before the final transcript? This information is crucial for planning your work permit application.

Study Permit Expiry

Your study permit must be valid when you apply for PGWP. If your permit expires before you apply, you must apply to extend your study permit first. This adds time and cost. Check your permit expiry date. If it is close, plan accordingly. You can apply for PGWP up to 180 days after receiving your completion letter.

Work Eligibility

You cannot work off-campus during your final exams or after receiving your final grades if you have not yet received your completion letter. You must wait until you have the official confirmation that you have completed your program. Some students receive a letter stating they are eligible to graduate. This may not be enough. Wait for the official completion letter.

Job Offers

If you have a job offer starting immediately after graduation, communicate with your employer. Explain that you need your completion letter to apply for PGWP. They may be willing to wait a few weeks. Do not start working without a valid work permit. Working without authorization can lead to removal from Canada.

Organize Your Evidence

Keep copies of all documents. Save emails from your registrar. Take screenshots of your student portal showing your completion status. When you apply for PGWP, you may need to upload proof of completion. Having these records ready will speed up the process.

Check Official Guidelines

IRCC guidelines state that you must have completed your program at a DLI. Ensure you meet all criteria. If you have questions, consult the official IRCC website. Verify the current processing times and document requirements.

How did you handle the gap between graduation and PGWP application? Did you receive your completion letter quickly, or did you have to wait for transcripts? Share your experience to help others navigate this period.

The most critical date to track is your official program completion date as stated in the completion letter from your school. This date determines your eligibility to apply for the PGWP within 180 days. Final grades and transcripts may arrive earlier or later, but the completion letter is what immigration officers use to assess your timing. Contact your registrar to confirm when the completion letter will be issued and whether it includes your DLI number and program details. Keep copies of all documents and track your application submission date carefully. Ask your school if they can provide a digital copy of the completion letter immediately after approval. What is your program end date, and when was the completion letter issued?
